Terms & Conditions

Effective October 12, 2026

These terms cover your use of H&T Transit Driver Reports (the "app"). The app is provided by H&T Transit (the "company", "we" or "us") to its own drivers, mechanics and office staff for company work.

By signing in to or using the app you agree to these terms. If you do not agree, do not use the app and speak to the office.

These terms add to, and do not replace, your employment or contractor agreement and the company's policies. The Privacy Policy, which is linked next to these terms, explains what information the app keeps and how H&T Transit uses it.

1. Who may use the app and your account

Only current employees and authorized contractors of H&T Transit may use the app, and only with an account the office has set up. There is no public sign-up.

The office creates your account, usually by sending an invitation email or handing you a starting password. Your work email address is your username.

  • One person per login. Your account is for you alone.
  • Keep your password private. Do not share it or write it where others can see it.
  • Do not let anyone else sign in as you or file anything under your name, and do not sign in as someone else.
  • Change your password if you think someone else knows it.
  • Tell the office right away if your phone is lost or stolen, or if you think someone else has used your account.

Anything done while signed in to your account is treated as done by you.

2. What the app is for

The app is a tool for company business: filing your Daily Driver Report, downtime and vacation requests, work orders, vehicle inspection records, spare-vehicle lockbox codes (when the office switches that feature on) and similar company forms. Everything you enter in the app is a company business record.

Use the app only for company work and only in the ways it is meant to be used. It is not for personal use.

3. Your responsibilities

When you use the app you agree to the following.

  • File accurate, complete and honest reports: the right customer, date, truck and trailer numbers, times, odometer readings, miles, farms, ticket numbers, weights, and only the boxes that truly apply to the day (night shift, holiday, split load and so on).
  • Photograph only real tickets, and attach them to the day and load they belong to.
  • Do not file a report for someone else, and do not let someone else file one for you.
  • Never use the app while driving. Fill in your sheet when the truck is parked.
  • If the app shows you a lockbox code, keep it to yourself. Every code pull is logged with your name, the truck and the time.
  • Use a lock screen on any phone that has the app, and keep the phone reasonably up to date. If you use your own phone, the phone, its data plan and its security are your responsibility.
  • Do not try to get around the app's access rules, change data you are not allowed to change, copy the app's data out in bulk, run automated tools against it, or tamper with or interfere with the app or try to copy how it works.

Filing false information, sharing a login or misusing the app is a disciplinary matter under company policy and may also break the law.

4. Electronic records and signatures

You agree to do company business electronically through the app. A report, request, work order or inspection you submit is your record, just as if you had filled it in and signed it on paper.

When the app asks you to type your name or draw your signature, that electronic signature is yours and has the same effect as a signature on paper.

A manager who approves, changes the hours on, or denies a request, either in the app or through the one-time approval link the app emails to the manager, is recorded on that request by name or email and time. That decision has the same effect as a signed approval or denial on paper.

The company keeps these records and may rely on them for payroll, customer billing, insurance, safety and to meet legal rules. Once a record is submitted, only the office can correct it, and every correction to the loads on a sheet is logged.

To use the app you need a phone or computer with a current web browser and an internet connection, and a way to open PDF files if you want to read the PDF of your sheet. You can ask the office for a paper copy of any record of yours.

5. Pay figures shown in the app

The app works out a pay figure for each report from the company's pay tables and prints it on the PDF of your sheet. That figure is an estimate to help you check your day. It is not a pay stub and not a promise of a particular amount.

The office reviews reports and may correct a sheet, a pay table or a pay figure. H&T Transit's payroll records are the official record of what you are paid. If a figure in the app looks wrong, tell the office.

6. Office review, monitoring and account changes

The office can see every report and record filed through the app, and is emailed a copy of each sheet you submit. Office and admin users may edit the loads on a submitted sheet, approve or reject a sheet, or delete it.

When a sheet is approved or rejected, the sheet records who reviewed it and when, and you are emailed the decision. Edits to the loads on a submitted sheet, deletions, user account changes, pay-table changes, exports of load data and lockbox code pulls are written to an audit log that shows who did what and when.

The company may monitor use of the app, review the audit log and sign-in records, and look into suspected misuse.

The company may suspend or deactivate your account at any time, for example when you leave the company, when your role changes, or if the app is misused. Deactivating an account does not delete the business records you filed.

7. Availability and offline use

The app is built to work with no signal: a report you are filling in is kept on your phone and sent when you are back online. Even so, the company does not promise that the app will always be available, fast or free of errors. Updates, outages at the companies that host the app, and problems with your phone or connection can interrupt it.

If the app is down or a report will not send, keep your tickets and notes and tell the office so your day can still be recorded and paid.

8. Your phone and what the app keeps on it

So it can work offline, the app stores a draft of the report you are working on, submissions waiting to send, ticket photos waiting to upload, reference lists such as customers, farms and pay tables, and small settings such as your light or dark theme and which tutorials you have finished, in your phone's browser storage. That information stays on your phone until it has been sent and cleared, or until you clear the browser's data.

If you use a shared or borrowed phone, sign out when you finish. Treat what you see in the app as company confidential: do not share screenshots, pay tables, farm lists, lockbox codes or customer details outside the company.

9. Ownership of the app and its content

The app, its design, code, pay tables, farm and customer lists, forms and all other content belong to H&T Transit or the companies it licenses them from. You have a limited permission to use the app for company work while you are an employee or authorized contractor, and the company can withdraw that permission at any time. You may not copy, sell, license or build on the app or its content.

H&T Transit owns the business records created in the app, including reports, photos, signatures and requests. You can see your own records in the app, and the Privacy Policy explains how to ask for a copy or a correction.

10. No warranties and limits on our responsibility

The app is provided as it is. The company does not promise that it will meet every need, work on every phone, or be free of errors.

To the extent the law allows, H&T Transit is not responsible for losses that come from using or being unable to use the app, such as data lost from your phone, a delayed submission or a mistaken pay estimate, except where the law does not allow this limit or the loss is caused by the company's own deliberate misconduct. Nothing in these terms limits any right you have under wage, workers' compensation or other employment law.

11. Changes to these terms

The company may change these terms from time to time, for example when the app gains a feature or the law changes. The current version is always posted in the app with its effective date at the top.

If you keep using the app after a new version is posted, you accept the new terms. For a significant change the office will let you know.

12. Governing law and where disputes go

These terms are governed by the laws of the State of North Carolina. Any dispute about the app or these terms will be decided in the state or federal courts located in the State of North Carolina, and you agree to bring any claim there.

This does not take away any right you have under employment law to bring a claim somewhere else.

13. Other terms

If any part of these terms cannot be enforced, the rest still applies. If the company does not enforce a term right away, it can still enforce it later.

These terms, together with the Privacy Policy, your employment or contractor agreement and company policies, are the full agreement about your use of the app.

14. Questions and contact

Questions about these terms, a report, a pay figure or your account go to the H&T Transit office.
